Overview

Overview

Authorized positions, encumbrances, vacancies and fill status in one register tied to your org structure.

The register holds authorized positions, their attributes and their place in the organization, then tracks encumbrances, vacancies and fill status as they change. Recruit actions link to the position they fill, so vacancy counts stay accurate without a separate spreadsheet. Managers see their own units, HR sees the whole structure, and leadership sees vacancy rates and trends on a dashboard.

Setup begins with your organization structure and position data, loaded and validated with HR before the app goes live. Security roles restrict pay and grade fields, changes are audited in Dataverse, and the model can feed the Recruiting Tracker and Personnel Action Workflow so one position record drives the whole cycle. It runs in your tenant, including GCC and GCC High.

Outcomes

An accurate vacancy count

Authorized, encumbered and vacant positions are calculated from the register, not assembled from office reports.

Structure you can reorganize

Positions move with the org chart, so realignments and new units update reporting without rebuilding a single spreadsheet.

Recruit actions tied to positions

Every fill is linked to an authorized position, which keeps headcount, budget and hiring aligned from requisition to start date.

Vacancy trends for leadership

Rates, aging and fills by organization are available on a refreshed dashboard instead of a quarterly roll-up.
